Privacy policy.
This policy explains how Wrexham Media collects, uses and protects personal information when you use our websites, software and services, including the Wrexham Media Song Distribution System (WM–SDS).

Who we are
Wrexham Media is the controller of the personal information described in this policy. Privacy enquiries and data-rights requests can be sent to info@wrexhammedia.com.
Information we collect

How we use information
We use personal information where it is necessary to provide and secure the service, fulfil our agreements with users, comply with legal obligations, and pursue legitimate interests such as preventing misuse and improving WM–SDS. Where consent is required, it may be withdrawn at any time without affecting earlier lawful processing.
WM Panic Button
WM Panic Button performs health monitoring locally on the user’s Windows PC or Mac. Resource readings, application lists, settings and diagnostic reports are not uploaded by the app. A diagnostic report is created only when the user chooses to export one.
When a user purchases, activates or validates a licence, we process the purchase email address, licence and subscription status, product and app version, a one-way installation identifier, payment references supplied by Stripe, and timestamps needed to issue, renew, protect and support the licence. Payment-card details are entered on Stripe’s secure checkout pages and are not received or stored by WM Panic Button.
Licence records are retained while the entitlement is active and afterwards as reasonably required for customer support, refunds, fraud prevention, accounting and legal obligations. Users can request access, correction or deletion by emailing info@wrexhammedia.com, subject to records we must retain by law.
Sharing
We do not sell personal information and do not use WM–SDS information for cross-app tracking or third-party advertising. We may share only the information needed with service providers that host or support our systems, professional advisers, public authorities where legally required, and the relevant artist or station when processing a requested interview or music-distribution activity. Providers must protect the information and use it only for the agreed service.
Retention and security
We keep information only for as long as needed for the purposes above, to maintain appropriate distribution and rights records, and to meet legal, accounting or dispute-resolution requirements. We use reasonable technical and organisational safeguards, but no internet service can guarantee absolute security.
International transfers
If information is processed outside the United Kingdom or European Economic Area, we use an appropriate lawful safeguard, such as an adequacy decision or approved contractual protections.
Your rights
Depending on where you live, you may have rights to access, correct, erase, restrict or object to the use of your information, receive a portable copy, or withdraw consent. You may also complain to the UK Information Commissioner's Office or your local data-protection authority. Contact us at info@wrexhammedia.com to make a request. We may need to verify your identity first.
Children
WM–SDS is a professional service for authorised artists, representatives and radio-station personnel. It is not directed to children, and we do not knowingly collect personal information from children through the app.
Changes to this policy
We may update this policy to reflect changes to our services or legal obligations. We will publish the revised version here and update the date above.
