1. Who this policy applies to
WM Audio Timer is a Windows application provided by Wrexham Media. This policy applies to people who install or use the application, start a trial, activate a licence, buy or renew a licence, or enable event-completion email notifications.

2. Information kept on your computer
WM Audio Timer keeps the information needed to run your chosen setup locally on your Windows computer. This may include schedules, recurring-event settings, selected output-device information, volume and mute preferences, application settings, event history and diagnostic information.
The application also keeps a stable Installation ID and protected trial information so that the one-time seven-day trial can operate consistently. Trial state is stored in encrypted or otherwise protected form. Local schedules and settings normally remain until you delete them, clear the application data or remove them as part of uninstalling the application.
3. Trial, activation and licence validation
When you activate WM Audio Timer, the application sends the information required to check your entitlement over HTTPS. This can include your purchase email address, licence code, Installation ID, application version and licence-validation information.
Our licensing service stores information needed to issue and administer licences, such as customer email, plan and licence status, relevant dates, Installation ID association, payment-provider references and security-protected licence identifiers. Full licence codes, passwords, authentication tokens and private signing keys are not placed in the reporting spreadsheet.
The service returns a digitally signed licence grant. WM Audio Timer may periodically validate that grant over HTTPS to confirm that a monthly, annual or lifetime licence remains valid. A licence may be updated where a subscription renews, expires, is cancelled, refunded or revoked in accordance with the applicable purchase terms.
4. Audio-device operation
WM Audio Timer reads the names and status of connected Windows audio-output devices so you can select and control the correct output. It reads output-level information to draw the live VU meter and uses Windows controls to adjust volume, mute or unmute the selected device.
5. Optional event-completion emails
If you enable email notifications, WM Audio Timer uses the SMTP provider and recipient details that you configure to send event-completion messages. SMTP credentials are stored encrypted on your computer. The message may contain information about the scheduled action, its time and whether it completed successfully.
This feature is optional. Email delivery is handled through the provider selected by you and is also subject to that provider’s privacy terms. Wrexham Media does not need your SMTP password for its central licensing service.
6. Payments and subscriptions
Payments are processed by Stripe. Stripe collects and processes payment details under its own privacy terms. Wrexham Media receives transaction, customer, subscription, renewal, cancellation and refund information needed to provide and administer the licence, but does not receive your full payment-card number.
Stripe may notify our licensing service when checkout completes, a subscription renews or fails, a subscription ends, or a charge is refunded. These events are used to issue, extend, limit or revoke the relevant licence and to send service emails.
7. Server records, reporting and logs
Licence records are held in Wrexham Media’s secured production database. A restricted reporting mirror may be kept in Google Sheets to help us administer licences and monitor their status. The mirror contains operational licence information only and is not intended to contain passwords, password hashes, full licence codes, review tokens or authentication secrets.
We may keep operational and security logs containing timestamps, event types, non-secret identifiers, response results, errors and limited technical information. We use these records to deliver the service, investigate faults, prevent misuse, maintain security and support customers.
8. Why we use information
We use information where it is necessary to provide the trial, licence, subscription, support and notification services you request; to meet legal and accounting obligations; and for our legitimate interests in protecting the service, preventing misuse, resolving faults and improving reliability. Where a feature is optional, such as event-completion emails, you choose whether to enable it.
9. Service providers and international processing
We use carefully selected providers to operate parts of the service, including hosting and email infrastructure, Stripe for payments and Google for the restricted reporting mirror. They process information on our behalf or as separate controllers according to their role and terms.
Some providers may process information outside the United Kingdom. Where required, transfers are protected by recognised safeguards used by those providers, such as adequacy arrangements or approved contractual protections.
10. Retention and security
We retain licence, payment-reference and service records for as long as needed to provide the licence or subscription, handle support, prevent fraud, resolve disputes and meet legal, tax and accounting requirements. Operational logs are retained only for as long as reasonably required for security and service operation. Local application data remains under your control as described above.
We use proportionate technical and organisational safeguards, including HTTPS transport, protected credentials, password hashing where applicable, signed licence grants, access controls and restricted server configuration. No system can be guaranteed completely secure, but we review and improve our controls as the service develops.
11. Your choices and rights
Depending on applicable data-protection law, you may ask for access to your personal information, correction, deletion, restriction, portability or objection to certain uses. You may also withdraw consent where processing relies on consent. Some records may need to be retained for legal, security or contractual reasons.
You can disable optional notification emails in the application and manage or delete local schedules and history using the available application controls. To make a privacy request, email us using the contact details below. We may need to verify your identity before responding.
12. Children
WM Audio Timer is a professional audio-output utility and is not designed or marketed as a service for children. We do not knowingly seek personal information from children through the application.
13. Changes to this policy
We may update this policy when the application, licensing service, legal requirements or service providers change. The effective date at the top of this page shows when it was last updated. Material changes will be communicated through an appropriate product or website notice where reasonably possible.
